DEPARTMENT: Magistrate Court, Hart County
JOB SUMMARY: This position is responsible for receiving and processing civil suits and warrants and providing general clerical support to the court.
MAJOR DUTIES:
o Assists the general public by telephone and in person with the filing of civil suits and warrant cases by providing information on the filing process and answering other questions related to court business.
o Performs such general office duties as processing daily mail, ordering office supplies, typing and filing documents and correspondence, and notarizing documents for individuals.
o Process civil suits, including dispossessory, foreclosure and garnishments: receives payment for services and garnishments, writes receipts, prepares cases for service by the Sheriff=s Department, posts and files all related documents, issues court dates and types judgments.
o Assists with the bookkeeping function of the court: balances cash against daily receipts, prepares monthly reports of monies collected and cases processed, and disburses funds to the appropriate parties.
o Processes criminal and bad check warrants for service: gathers information for the filing of warrants, types warrants, prepares copies for service by the Sheriff=s Department, and posts and files all related documents.
o Processes ordinance violation cases, including recording tickets on the docket, posting information to the computer, and scheduling cases for court.
o Assists the judge by preparing courtroom for hearings, presenting judge, calling calendar of cases, and giving oaths and instructions to parties.
o Performs other related duties as assigned.
KNOWLEDGE REQUIRED BY THE POSITION:
o Knowledge of the functions and procedures of the Magistrate Court.
o Knowledge of modern office procedures.
o Knowledge of applicable state laws and county ordinances.

o Knowledge of bookkeeping and accounting practices.
o Knowledge of court procedures and legal terminology.
o Skill in operating such office equipment as a computer, typewriter, printer, calculator, copier, and facsimile machine.
o Skill in performing basic mathematical calculations.
o Skill in dealing with the public.
o Skill in verbal and written communication.
SUPERVISORY CONTROLS: The Chief Magistrate assigns work in terms of general instructions. Work is reviewed for compliance with instructions and procedures, accuracy, and the nature and propriety of the final results.
GUIDELINES: Guidelines include the Official Code of Georgia Annotated, Magistrate Court rules, and county policies and procedures. These guidelines are clear and specific, but may require some interpretation in application.
COMPLEXITY: This position consists of related clerical and administrative tasks.
SCOPE AND EFFECT: The purpose of this position is to provide administrative and clerical support to the court. Successful performance helps ensure accurate financial and case records.
PERSONAL CONTACTS: Contacts are typically with co-workers, the general public, law enforcement officials, attorneys, judges, collection agency representatives, and local business owners.
PURPOSE OF CONTACTS: Contacts are typically to give or exchange information and provide services.
PHYSICAL DEMANDS: The work is typically performed with the employee sitting at a desk or table.
WORK ENVIRONMENT: The work is typically performed in an office.

MINIMUM QUALIFICATIONS:
o Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
o Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/ internship or having had a similar position for one to two years.
