This policy has been established to provide for the most effective and efficient
means of having damaged county vehicles repaired. Further, it establishes responsibility
and accountability for the process. Accordingly, to achieve this result, the
following steps must be followed
- When damage occurs to a county owned vehicle, it shall
be taken to the Maintenance Shop or if necessary be towed to the Maintenance
Shop
- The person responsible for the vehicle shall provide
the Maintenance Shop Superintendent with the vehicle number, the department
it is assigned to, copy of the accident report and the towing bill if vehicle
was towed.
- Board of Commissioners’ office will contact the insurance
company.
- Adjuster will inspect the vehicle at the Maintenance
Shop.
- If there is a question as to whether the vehicle will
be repaired or “totaled” or how the vehicle will be repaired, the Maintenance
Superintendent will negotiate on behalf of the county.
- The Maintenance Superintendent will secure a minimum
of two (2) bids, preferable three (3) and will have the responsibility of
selecting the most appropriate bid to repair the vehicle.
- When outside repairs are complete, the Maintenance Superintendent
will determine whether the repairs were made in accordance with the repair
bid and other agreements.
- All paperwork will be returned to the Board of Commissioners’
office for followup.
- Department will pick up vehicle.
